Setting Up Custom Fields to Track LEED Points
Create the custom field: To begin, Lena creates a new custom field called "LEED Points." This field is a
dropdown type, with options like "0," "1," "2," and so on, to represent the potential points for a credit1111.
Assign the field to a folder: She assigns this new "LEED Points" field to the "Architectural" folder, where all the architectural plans are stored2. This ensures that every document uploaded to this folder will have a "LEED Points" field attached to it3.
Set default and required values: Lena sets a default value of "0" for the "LEED Points" field so that documents are automatically given this value upon upload. She also makes it a required field, ensuring no document can be saved without a point value5.
Using the Custom Fields for Approvals
Documenting points: The Architect team uploads a new set of floor plans that contribute to a LEED credit. Lena reviews the plans and, after her assessment, she manually updates the "LEED Points" field for that document to "2." She also adds a comment in another custom field to specify which credit the points are for, such as "Credit: Indoor Environmental Quality".
Requesting approval: Lena initiates an approval request for the architectural plans. The approval workflow is configured to include a review step for the Owner and the General Contractor. The custom field value "2" indicates that these are pending points that must be approved before they can be officially validated.
Finalizing points: Once the document is approved, its status changes to "Published," and Lena can see the final, validated points on the document's information page. She can now use these points for the final LEED certification application. This process ensures a transparent and auditable record, with the document's history tracking each change made to the custom fields.
