Creating a new approval request

The new approval request action can be found by clicking on the action menu to the right of the green plus button on the approvals page.

Approval Header - The subject of an approval

or by clicking on the action on the create new approval action in the approvals menu of the right menu of a draft revision

It is only possible to create new workflows in projects where not all draft statuses have been archived or draft revisions were uploaded prior to archiving all draft statuses.

This is what the header of a new approval can look like:

Title

The title of the approval reaquest.

An approval has to at least have a title to be submitted

Publisher

The publishing member has the final say in the validation outcome of the the drafts in the approval based on the reviews submitted by the reviewers.

By default the publisher is set to anyone with access which means anyone can publish the approval after it has been created.

Click on the publisher dropdown to configure a member as publisher.

Created by

The creator of the approval.

Due date / Miletone

The due date and/or milestone of the approval

Reviewers (optional)

Here reviewers that can make comments, approve or deny the drafts in the approval can be assigned.

Maximum reviewers: 20

Minimum reviewers

By default the minimum amount of reviewers is the amount of reviewers that have been selected.

At least one member has to be selected as reviewer to submit an approval.

When working by themselves approval creators can set themselves as reviewer if they will be the ones reviewing the approval they are creating.

The minimum number of reviewers is the amount of reviewers required to give a review to publish the approval.
The minimum number of reviewers must be less than or equal to the amount of selected reviewers because there cannot be more required reviewers than the total amount of reviewers.
Minimum reviewers: 1

If not enough reviewers submit their review the member set as publisher can force the final validation of the approval.

Submit

Click on submit to submit the approval.

At least one draft revision of a document and an approval request title have to be added to be able to submit the approval.

New draft approval request

In projects where draft revisions were submitted before the new status workflow was requested to be enabled drafts can continue to be added to approvals with the new draft approval request action.

Both the header and the body will work the same as they used to with the regular approval request before the new status workflow was enabled.

New validation workflow

For projects that have requested to start out with the new validation workflow with approval workflows to be enabled the new approval request dialogue will work differently.

This is what the header of a new approval can look like:

Workflow

Members that are part of submitter teams configured in a project workflow can select between one of the workflows that their teams are configured for.

The workflow that was previously selected is remembered.

As long as the previously selected workflow is still available it will be selected once again next time an approval is created.

If only onle of the teams a member is part of is configured for a workflow, that workflow will automatically be selected.

This is what it can look like when the workflow is automatically selected.

Access requred: Members and administrators must be part of a submitter team configured for a workflow to be able to select the workflow.

Submitter

After a workflow is selected members who are part of multiple submitter teams configured for the workflow can select on behalf of which team they would like to submit the approval request.

The submitter team that was previously selected is remembered.

As long as the member is still part of the previously selected submitter team it will be selected once again next time an approval is created.

If a member is only part of one of the submitter teams that are configured for the workflow the submitter team is automatically selected when the workflow is selected.

Access requred: Members and administrators must be part of a submitter team configured for a workflow to be able to submit on behalf of that submitter team.

Title

The title of the approval request.
An approval must have a title to ​be submitted.


Approval body - New validation workflow

The new validation workflow is an on-demand feature that can be requested to be enabled when starting a new project.

It is only possible to create a project based on a template project when the new validation workflow is not enabled in that template project.

Documents for review table

This is what the documents for review table can look like after shared revisions in each document that are to be validated have been added:

Columns

Based on the configured column order the first columns are displayed while the table might have to be scrolled sideways to show other enabled columns.

The default order and visibility setting of the columns on the documents page is as follows:

Name - Default

The name of the document that the shared revision is in.

The document name is the same for all revisions in the document.

Revision - Default

The name of the document revision.

This is the same as the orginal filename of the file that was uploaded.

# - Default

The major and minor revision number of the shared revision (#0.1, #0.2, #1.1, etc...)

Status - Default

The name of the shared status that is applied to the shared revision.

Remove - Default

Click on the x in the remove column to remove the document that is to be reviewed from the documents for review list.

Save as draft

As soon as the approval request is submitted the reviewer teams configured in the first step of the selected approval workflow will be tasked with reviewing the revisions in the approval request during the duration of their approval step.

They will be able to review the revisions until the working days configured for their approval step are over.

Save an approval request as a draft so it can be submitted as soon as the workflow is ready to be begun.

This can be to make sure that the teams in the first review step of the approval workflow that is selected are to start their review duration.

This can also be to make sure that the total working days until the final publishing date ends up at the right time.

Submit for review

Click on submit for review to submit the approval and start the approval process.

A workflow, a submitter team to submit on behalf of, a title and at least one shared revision of a document have to be added to be able to submit the approval.
