Document preview tools

When you first open a PDF you will see the following toolbar towards the top.


If you have a large browser scale or a small screen the bar can look like this instead:


This article contains information about the following topics:


Shapes, text and call-outs can be added, text can be highlighted, measurements can be taken and you can draw freehand.

Menu

This is wat the toolbar menu can look like:


Download

Click on download to download the document

Save As

Click on Save As to open the Save As dialogue.

The Save As dialogue can look something like this:

Click on Print to open the Print Settings dialogue.

The Print Settings dialogue can look something like this:


View controls

The view controls menu can look something like this:


Marquee zoom

This is what the document zoom icon can loook like:


With document zoom selected click anywhere in the document to zoom in that direction.

You can also click and drag to mark a part of the document you would like to zoom to.
Hold Control or Command to zoom out instead.

You will see your curson change to a looking glass with a + or - indicating your zoom direction.

Zoom percentage

Click the zoom percentage to open the zoom percentage menu.

The zoom percentage meny can look something like this:


​Fit to width

Fit the document to cover the entire width of the document preview

Fit to page

Fit the document to display the whole current page you are on in the document preview.

Increase and decrease zoom

Click on the plus and the minus buttons next to the zoom percentage to go up/down a level.

Pan

This is what the pan button can look like:

If you are zoomed in so the document goes past the document preview border you will be able to click and drag with the pan tool to move to a different part of the document.

Shortcut: (P)

Also hold space to pan.

Letting go of space will select your previous tool once more.

Select

This is what the select button can look like:

Shortcut: (Esc)

Click and drag to select annotation elements within one page at a time.

Annotation menus

By default the view menu will be selected.

Selecting any of the other annotation menus will open up a second toolbar below the document toolbar.

You will be able to find the following menus:

View menu

Selecting the view menu will activate the select tool and hide the annotation toolbar.

This menu can be useful to select if you need more space on the page.

Annotate menu

The annotate menu opens a toolbar with the following tools:

Underline - Shortcut: (U)

Highlight - Shortcut: (H)

Rectangle - Shortcut: (R)

Free Text - Shortcut: (T)

Free Hand Highlight

Free Hand - Shortcut: (F)

Squiggle - Shortcut: (G)

Strikeout - Shortcut: (K)

Insert text

Replace text

Color presets

If you are zoomed very far in or are on a small screen you might not see this menu.

Select one of the color presets to open the color preset menu.

The color preset menu might look different depending on which tool you have selected.

This is what the color preset menu can look like for the underline tool:

Color presets

If you are zoomed very far in or are on a small screen you might not see this menu.

Select one of the color presets to open the color preset menu.

The color preset menu might look different depending on which tool you have selected.

Insert menu

Rubber Stamp

To place a rubber stamp, first click on the stamp in the stamp selection men (you do not have to open it) Then click somewhere in the document to place it.
The opened stamp selection menu can look something like this:

Standard

Custom

With a custom stamp you will be able to add a stamp that includes your username and will dynamically follow the current date and time of when you placed the stamp.

Click Create New Stamp to open the Create New Stamp dialogue.
The Create New Stamp dialogue can look something like this:

Stamp text - Default - Draft

Add some text like "approved" or "rejected"


Font style - Default - Helvetica, Bold
Select font and font style

Text color - Default - White

Black, White or choose your own text color

Background color - Default - Green

Green, Blue, Red or choose your own background color

Timestamp text - Default - All selected

Choose if you want to include the Username, Date and/or Time

Date Format - Default - DD/MM/YYYY h:mm A

Select your preferred date format

Image - Shortcut: (I)

After having selected the image tool you can click anywhere in the document to add an image at that location.

Typically images can be used to insert an logo, image of your own stamp or to add a signature.

After clicking your systems file explorer will open up letting you choose an image.

After selecting your image it will be placed on your specifield ocation.

Select the placed image to:

Move - Drag on the image

Scale - Drag on the corner of the image

Rotate - Drag on the rotation handle

Duplicate - Hold alt and drag on the image to duplicate it

Delete - Click on the trashcan or press delete to delete the image

Callout - Shortcut: (C)

Select one of the color presets to open the color preset menu.

The color preset menu might look different depending on which tool you have selected.

Measure menu

Scale menu

When you open the distance menu you will see the following scale menu toward the right of the document preview.

Scale - Default 0.250 in = 1.000 in

Click on the scale dropdown to create your own scale.

Distance

After selecting the distance tool, click and drag in the document to measure from the location you clicked to the location where you release your mouse button.

Arc Measurement

Perimeter

Area

Ellipse Area

Rectangular Area

Count Measurement

Tools available in all annotation menus

Undo - Shortcut: (Ctrl + z)

Click undo to undo your previous action

Redo - Shortcut: (Ctrl + y)

Click redo to redo your previous action

Eraser - Shortcut: (E)

Select the erasor tool to erase any elements you have created.

Document search

If you click on the looking glass towards the right you will be able to open the document search menu.


Type a phrase to start searching within the searchable text of your document.
